A slot is a repeating bookable time, such as “Weekend morning, Saturday and Sunday, 10:00 to 13:00”. Each day it runs becomes a dated session customers can book, with its own places. Manage slots under Operations > Slots.
Create a slot
Choose New slot and fill in:
| Field | Notes |
|---|---|
| Name | For your own reference. Customers never see it. |
| Bookings allowed per day | The capacity of each day, from 1 to 500. |
| Days it runs | Tick any of Monday to Sunday. At least one is needed. |
| Start time and End time | When the session runs. |
| Only available between certain dates | Tick this to limit the slot to a window, such as half term. Enter Available from and Available to (inclusive). |
When you save, the page tells you what happened to the dates, such as “Dates: 26 created.”
How dates are created
- Gravity Pass creates each day’s session about 90 days ahead and tops them up automatically every hour, so you never create dates by hand.
- There is no calendar to maintain. Your slots are your availability.
- Times and dates are in your local time.
Editing a slot
Editing updates the slot’s future dates:
- Dates with no bookings are changed or removed to match.
- A date that already has bookings is never moved or deleted. It may take a larger capacity, but the time stays as booked. After saving, the page tells you how many days were left alone, so you can contact those customers or cancel the bookings yourself if needed.
- Days you’ve previously cancelled stay cancelled.
Deactivate, reactivate, delete
| Action | Effect |
|---|---|
| Deactivate | Removes future dates that have no bookings, so customers can’t book them. Dates with bookings stay. You’re asked to confirm. |
| Activate | Recreates the future dates. |
| Delete | Removes its future dates and takes it off any ticket it was attached to. Slots with upcoming bookings can’t be deleted. |
The slot list
Each slot shows its days of the week as dots, its time, capacity, whether it runs all year or within a date range, and how many upcoming days are on sale and how many places are booked across them.
