# Waivers

Gravity Pass has **one waiver for your whole business**. Every rider signs it once, and that signature is kept on their customer record.

## Set up your waiver

> **Administrators only**
>
> This part of the portal is only visible to people with the **Administrator** role. If you can't see it in your menu, ask an administrator. See [Roles and permissions](/reference/roles-and-permissions).

Go to **Administration > Account > Waiver**. You can add:

- **Waiver text**: shown for the customer to read before they sign. Line breaks are kept. Up to 20,000 characters.
- **YouTube video**: optional. Paste any YouTube link. When set, the customer **can't sign until they've watched the whole video**, and skipping ahead is undone.
- **Both**, or **neither**. If you leave both blank, no waiver is asked for at all.

> **Video watching is checked in the browser**
>
> The system trusts the customer's browser to report that the video was watched. It can't see YouTube playback itself, so treat the video as a strong prompt rather than proof.

## When customers are asked to sign

1. When a booking is **paid**, the lead booker and **every adult on it who hasn't signed yet** gets an email with their own personal link.
2. The link opens a page on your booking site that shows the text and/or video.
3. To sign, the customer ticks **I agree** and types their **full name**.
4. Minors don't have an email address, so an adult signs for them.
5. The signature, the date and the typed name are saved on the customer.

Once signed, **they're not asked again**, even if you edit the waiver later.

You can change the wording of the email under **Email > Templates > Waiver to sign**. See [Email templates](/setup/email-templates).

## Seeing who has signed

| Where | What you see |
|---|---|
| **A booking** | A **Waiver signed** or **Waiver not signed** badge beside each rider. |
| **Check in** | A **Signed** or **No waiver** badge per rider, so you can catch it before they ride. |
| **A customer's page** | Signed or not, when and the name they typed. |

If someone hasn't signed, open their customer page and choose **Send waiver email** or **Resend waiver email**.

## Events that don't need one

Tick **Waiver not required** on an [event](/selling/events) and no waiver email is sent for a booking made up only of those tickets.

## Changing the waiver

Editing the text doesn't ask people who've already signed to sign again. To make **everyone** sign the new version, tick **This is a new waiver** when you save. Every existing customer is marked as unsigned, and each is emailed when they next book. You're asked to confirm, and it **can't be undone**.
