# Managing a booking

Open any booking from [Bookings](/daily/bookings), from a customer's page, or from a link in Check in.

## What a booking shows

| Section | What's there |
|---|---|
| **Status and total** | The status badge, the amount, and the action buttons. A **Pending** booking also says when its held spaces will be released. |
| **Session** | The date, time, and the slot or event name, plus the number of places. |
| **Booked by** | The lead booker, with a link to their customer page, email and phone. |
| **People in this booking** | The booker and every rider, with an **Under 18** badge for minors and a **Waiver signed** or **Waiver not signed** badge for each adult. |
| **Tickets** | Each line with quantity and price. If a season pass or voucher was used it shows a subtotal, then each discount, then the total. |
| **History** | Every event, newest first: booked, paid, moved, converted, cancelled, who did it and when. |

## Move a booking

Use this when a customer wants a different day or time.

1. **Choose Move booking**

Available on **Pending** and **Confirmed** bookings, but not for events.
2. **Pick a day**

A calendar highlights days that have a session with **room for everyone** on the booking. Choose one.
3. **Pick a time**

If a day has several sessions, choose one. Each shows how many places are left.
4. **Confirm**

Choose **Move booking**. The history records the move, and the customer's places move with it.

Moving doesn't change the price or the tickets. To change those too, use convert. If you change your mind, choose **Keep current time**.

## Convert a booking

Use this when a customer bought the wrong tickets, or wants different ones on a different day.

1. Choose **Convert booking**. This is only available on **Confirmed** bookings, and not for events.
2. For each ticket line, choose the ticket to switch to. Minors keep paying the minor price where the new ticket has one.
3. Optionally choose a different day and time too. The booking's current session stays selectable, so you can change tickets alone.
4. The dialog shows the **new total** and the difference.
5. Choose **Convert booking**.

> **The payment is not adjusted for you**
>
> If the new total is higher or lower, the dialog tells you how much to collect or refund, but **Gravity Pass doesn't move any money**. Settle the difference in your Stripe dashboard.

## Cancel a booking

Choose **Cancel booking** (or **Cancel & refund** on a paid one). You're asked to confirm first.

| Booking is… | What happens |
|---|---|
| **Pending** | The held spaces are released. Nothing was paid, so nothing is refunded. |
| **Confirmed** | The booking is cancelled, the places are released, and the **whole payment is refunded** to the customer's card. |

A cancelled booking can't be reinstated. If a customer changes their mind, they have to book again.

> **Cancelling for a closure**
>
> Adding a [closure](/selling/closures) never cancels existing bookings. When you must close, find the affected bookings (the calendar view helps), then cancel or move each one.

## Who did what

Every change you make is recorded against your name in the booking's history, and in the [audit log](/compliance/audit-log).
